Refund Policy

Overview

Poplar Way Advisory Partners provides professional advisory services, not physical products. This policy explains refunds, cancellations, and rescheduling for our retail expansion planning engagements.

Engagement deposits

A 50% deposit is required to commence Retail Expansion Planning and Staffing & Operations Plan engagements. Site Selection Reviews are invoiced in full before the first site visit. Deposits confirm your place in our schedule.

Full refund eligibility

You may request a full refund of your deposit if:

• We have not yet commenced work (no discovery sessions held, no site visits completed)
• You cancel in writing at least ten business days before the scheduled start date

Refund requests: info@content-poplarway.click with your name, engagement reference, and reason for cancellation.

Partial refunds

If work has commenced but you need to cancel:

• Discovery phase only (weeks 1–2): up to 50% of the total fee refunded, less work already completed at our standard hourly rate of $220 + GST.
• After site visits (week 3+): no refund of deposit; you receive all deliverables completed to the cancellation date.

We will provide a written summary of work completed and any partial refund calculation within five business days of your cancellation notice.

Non-refundable items

The following are not refundable once incurred:

• Travel expenses already booked for regional or interstate site visits
• Third-party reports ordered on your behalf (e.g. traffic counts)
• Work delivered and accepted in writing

Rescheduling

You may reschedule discovery sessions or site visits once without penalty if you provide at least five business days’ notice. A second reschedule may incur a $350 + GST administrative fee. Urgent lease deadlines are accommodated where our schedule permits.

No-shows

If you miss a scheduled site visit or session without 24 hours’ notice, we may charge the session at our hourly rate and count it against your engagement hours.

Work already started

Once we deliver a draft financial model or site comparison report, that portion of the engagement fee is non-refundable regardless of whether you proceed with the expansion.

Processing time and method

Approved refunds are processed within fourteen business days to the original bank account used for payment. We do not refund to third-party accounts.

Dissatisfaction with deliverables

If you believe a deliverable does not match the agreed scope in your engagement letter, contact us within fourteen days of delivery. We will review the concern and, where appropriate, revise the deliverable at no additional charge. This is our primary remedy before any refund consideration.
